Destination Wedding Site Visit Checklist for Venues

A site visit lets you stand in your destination venue before the wedding week. It shows you what photos struggle to: how far the ceremony spot is from the reception, how the light falls at the hour you'll say your vows, and whether the guest rooms match the brochure. With a checklist in hand, one trip can settle the venue and much of the guest plan.

If you haven't shortlisted venues yet, start with our guide to planning a destination wedding.

Key takeaways
  • A site visit adds a flight, a hotel stay and time off work, so it pays off most for large or complex weddings.
  • Shortlist two or three venues and book time with each venue's coordinator before you travel.
  • Visit in the same season, and at the same time of day, as your wedding.
  • Check the weather backup, guest rooms and privacy as closely as the ceremony space.
  • If you can't travel, ask for a video walkthrough of every space you'd use.

Is a Destination Wedding Site Visit Worth It?

A visit adds a return flight, a hotel stay and time off work, and you can plan a destination wedding remotely through video calls with the venue's coordinator, as DestinationWeddings.com explains.

The same source lists the cases where a visit earns its cost:

  • A larger wedding, around 75 guests or more, with complex logistics
  • A private villa or a venue that isn't all-inclusive, where you'll coordinate more of the details yourself
  • A trip you're taking anyway, such as an engagement holiday in the same place
  • A key guest with mobility needs, who needs you to see the paths, steps and rooms first

What to Arrange Before You Fly

  1. Shortlist two or three venues. More than that in one trip and they start to blur together.
  2. Book time with each venue's wedding coordinator. Ask to see every space you might use, including the ones you'd only need if it rains.
  3. Travel in your wedding season. Heat, humidity, wind and crowds change from month to month.
  4. Plan to be at each venue at your ceremony time. The light and the temperature at 4pm are not what you'll see at 10am.
  5. Ask about a tasting. When you book the appointment, ask whether the venue can serve a few dishes from its wedding menu.
  6. Bring your guest count, budget and must-haves in writing. It keeps every conversation anchored to the same numbers.

The Site Visit Checklist

Work through each area at every venue, take photos and notes as you go, and compare them the same evening while it's fresh. A board for each venue in Studio's Decor & Moodboard holds images, notes and links side by side.

Ceremony and Weather Backup

  • Stand where you'll stand for the vows and look at the view behind you
  • Check for shade, sun glare and wind at your ceremony time
  • See the wet-weather space, not just a photo of it, and check it fits the same number of guests
  • Ask how late the venue makes the call to move the ceremony indoors

Reception and Capacity

  • Ask how many guests the space fits comfortably, not just the maximum
  • Picture the dance floor, the band or DJ, and any extras such as a photo booth in the room
  • Ask the venue to show you its own tables, chairs, linens and bar set-up, so you know what you'd still need to hire
  • Walk the distance between the ceremony, the drinks and the reception, the way your guests will

Privacy and Other Weddings

  • Ask how many weddings the venue hosts on the same day
  • If there's more than one, ask how the events are kept apart and whether you'll have your own coordinator
  • At a resort, ask which areas stay open to other guests and how the wedding space is kept private

Guest Rooms and Getting There

  • Look inside each room type your guests might book, not only the suites
  • Ask about room blocks, discounted rates and any minimum number of rooms you must fill
  • Check there are options at a few price points, plus rooms for families and guests with limited mobility
  • Time the transfer from the airport yourself, because your guests will make the same trip

Once you've chosen, put what you checked in front of your guests. A Wonderland Studio wedding website has a travel page for hotels and room block details.

Food, Vendors and Photos

  • Taste the dishes you're considering and ask how the menu changes for dietary needs
  • Ask which vendors the venue requires you to use and which you can bring in
  • Meet any local planner, florist or photographer you're considering while you're there
  • Note the best photo spots at golden hour and how long it takes to reach them

For the questions to ask the coordinator in the room, including pricing, contracts, cancellation and what the package includes, use our list of questions to ask on a wedding venue tour.

If You Can't Make the Trip

If you can't travel, ask each venue for a live video walkthrough of the ceremony space, the backup space, the reception room and every room category your guests might book. Request photos of the menu, and ask the coordinator to put you in touch with couples who married there in the last year. Our destination wedding checklist covers the rest of the plan, from a year out to the final week.

Choose the Venue That Works for Your Guests

The right venue works for the ceremony, the reception and the guests who travel to be there. If you're still choosing where to marry, compare countries and regions in our destination guides before you plan the trip.

Frequently Asked Questions

Should you do a site visit before or after booking the venue?
Before, if the visit is how you'll choose between venues. That's when you can still walk away from one that doesn't fit. After, if you've already booked from video calls and reviews: the trip then becomes a planning visit, for tastings, vendor meetings and settling the layout with the coordinator.
Is a destination wedding site visit worth the cost?
It depends on what the trip would settle. If the remaining questions are about the feel of a space, the walking distances or the guest rooms, being there answers them fastest. If they're about menus, layouts and paperwork, video calls with the coordinator can settle them at home, and the flight money goes into the wedding instead.
What should you bring to a destination wedding site visit?
Pack this checklist, your written brief and a phone with plenty of storage, because video captures distances and noise better than photos. A light jacket and comfortable shoes help too, since you'll walk every space, often outdoors, and sometimes at more than one venue in a day.
